Leads Management Training Guide
Overview
The Leads page helps you track and manage potential customers from initial inquiry through to conversion. This guide will walk you through all features and best practices for managing leads effectively.
CRM Leads
The CRM Leads feature is used to capture, track, and manage incoming leads from various sources. Leads represent potential customers and can be progressed through defined stages until they are converted into contacts and deals.
Overview
The Leads module allows users to:
- View and search all leads
- Add new leads manually
- Edit existing leads
- Assign leads to agents
- Track lead status and stages
- Convert qualified leads into contacts
- Enforce business rules during lead progression
Accessing Leads
- Navigate to the Admin Dashboard
- Select CRM
- Click Leads
You will see a list of all leads in the system.
Leads List View
The Leads page displays leads in a searchable and sortable table.
Displayed Columns

| Lead Created At | Date and time the lead was created |
| Name | Lead's first and last name |
| Email Address | Lead email |
| Phone No. | Lead phone number |
| Lead Source | Origin of the lead (form capture or manual source) |

| Agent | Assigned agent |
| Actions | Edit lead |
Searching Leads
A global keyword search is available at the top of the table.
- Searches across name, email, phone number, and lead source
- Results update as you type
Adding a New Lead
- Click Add Lead
- The Add Lead modal will open
Required Fields

| Phone No. | Lead's phone number |
- Click Submit to save the lead
The new lead will appear in the leads list.
Editing a Lead
To edit an existing lead:
- Locate the lead in the table
- Click the edit (✏️) icon
- The Edit Lead modal will open
Leads captured via forms and manually created leads are edited through the same interface, with slight differences handled automatically by the system.
Lead Assignment
Within the Edit Lead modal:
- Select an Assigned Agent
- The system tracks:
- Who last updated the lead
- When the update occurred
This ensures accountability and visibility across the sales process.
Lead Status & Stages
Each lead has:
- A Status (e.g. New, Contacted, Interested)
- A Stage (e.g. Lead Generation, Lead Qualification, Contact)
Viewing Status & Stage
- The current status is displayed as a colored label
- The stage is shown alongside the status
Moving a Lead to a New Status
Some stages allow status changes.
- If the lead is in a movable stage, a Move Status To dropdown will appear
- Select the new status
- The system validates the transition before allowing it
Converting a Lead to a Contact
When a lead is moved to Interested:
- A Contact must exist for the lead
- The system checks for an existing contact automatically
Possible Scenarios
Contact Found
- A confirmation message is shown
- The lead can proceed to the next stage
Contact Not Found
- The system blocks the status change
- A warning message is displayed
- Click Create Contact to:
- Open the contact creation flow
- Pre-populate contact fields using lead data
This ensures data integrity and prevents deals from being created without a linked contact.
Saving Lead Changes
Once all validations pass:
- Click Save
- The lead will update with:
- New status
- Assigned agent
- Updated timestamps
Validation & Business Rules
The Leads module enforces key business rules:
- Required fields must be completed
- Leads cannot move to Interested without a contact
- Status transitions are restricted by stage
- Agent assignment is mandatory for progression
Best Practices
- Assign an agent as early as possible
- Update lead status regularly to reflect progress
- Convert leads to contacts promptly when qualified
- Use lead source data to track marketing performance
